Key Capabilities
Automatic Triggers
Fire notifications when a report is submitted (on creation) or when it's approved by a manager. Two triggers cover most workflow needs.
Dynamic Templates
Use {variables} in both subject lines and email bodies. Insert report details, timestamps, submitter info, location data, and any field value from your forms.
PDF Attachments
Optionally attach the full report submission as a PDF. Recipients see the complete report with all fields, photos, and signatures - right in their inbox.
Field-Based Alerts
Trigger notifications based on specific field values. Alert when a slider exceeds a threshold, when a dropdown selection matches a condition, or when numbers fall outside a range.
How to Create a Notification Rule
Set up automated email notifications in a few simple steps.
Navigate to Notifications
Go to Notifications in your admin menu. You'll see a table of all existing notification rules for your organization.
Create a New Rule
Click Add New to open the rule editor. Give your rule a descriptive name like "Daily Inspection Alert" or "Incident Escalation".
Choose Your Trigger
Select when the notification fires:
- On Creation - Email sent immediately when a report is submitted
- On Approval - Email sent only after the report has been approved
Select Target Reports
Choose which report types trigger this notification. Select the specific reports you want to monitor - for example, only "Incident Reports" or only "Daily Inspections". You can select multiple reports if you want the same notification to fire for several report types.
Add Recipients
Add up to 3 recipients per rule. Select team members from your organization or enter external email addresses for outside parties. Need to reach more people? Create additional rules with the same template, or let us know - we're happy to adjust limits for your workflow.
Build Your Template
Combine your own text with {variables} to craft the perfect subject line and email body. Add context, formatting, and any fixed text you need - variables get replaced with real values when sent.

Start Simple, Expand Later
Begin with one notification rule for your most important report. Once you're comfortable with variables and triggers, create additional rules for different scenarios. You can always duplicate and modify existing rules.

Use these variables in your subject line and email body. They'll be replaced with actual values when the notification is sent.

Pull any field value directly into your email. The variable name is the field label converted to lowercase with underscores.

A descriptive name for your notification rule. Use clear names like "Incident Alert" or "Daily Report Notice" so you can quickly identify each rule.
On Creation fires immediately when submitted. On Approval fires only after the report has been approved.
Shows which report types trigger this rule. Each report is displayed as a tag - a rule can apply to one or multiple reports.
Who receives the email. Can be team members (shown by name) or external emails. Maximum 3 recipients per rule.
Preview of your email subject line with variables. The actual email will have real values like report names and dates filled in.
Active rules send emails. Inactive rules are paused. Toggle directly in the table to enable/disable without editing.
When enabled, the complete report submission is attached as a PDF with all fields, photos, signatures, and formatting included.
Shows which entity a rule applies to. Agency-level rules apply everywhere; entity-specific rules only fire at that location.
Field-Based Conditional Alerts
Trigger notifications only when specific conditions are met. Set up alerts based on field values directly in the Report Builder.
Number Fields
Alert when values exceed thresholds or fall outside ranges.
Example: Alert if temperature > 100
Slider Fields
Same operators as numbers. Perfect for ratings and scales.
Example: Alert if satisfaction rating < 3
Single-Select Dropdown
Alert when specific options are selected or excluded.
Example: Alert if Priority = "Critical"
Multi-Select Dropdown
Alert when selections include or exclude specific options.
Example: Alert if Categories includes "Safety"
How to Set Up Field Alerts
Open the Report Builder for any report. Click on a supported field (Number, Slider, or Dropdown). In the field settings panel, you'll find an "Alerts" section where you can add conditional notification rules that fire only when that field meets your criteria.
